Data we collect. When you contact us, we may collect your name, business name, email address, telephone number and country code, service requested, message, company identifiers you choose to provide, and technical records needed to deliver and secure the form. Please do not send identity documents, special-category data, criminal-record information or confidential case files through the initial enquiry form.

Purposes and legal bases. We use enquiry data to answer your request, identify a suitable service, prepare a scope or quotation, take steps requested before a contract, keep a record of business communications, protect the website and establish or defend legal claims. Depending on the circumstances, processing is based on Article 6(1)(b) GDPR (pre-contractual steps), Article 6(1)(f) GDPR (legitimate interests in responding, operating and securing the business), Article 6(1)(c) GDPR (legal obligations), or consent where a separate optional purpose genuinely requires it.

Recipients and processors. Access is limited to personnel and appropriately authorised professionals who need the information for the enquiry. Website enquiries are transmitted through the FormSubmit service (formsubmit.co) to our designated mailbox; website hosting, email, security and IT-support providers may also process limited data under appropriate arrangements. We do not sell personal data. Where a provider processes data outside the EEA, a lawful transfer mechanism and appropriate safeguards must be used where required.

Retention. Enquiries that do not lead to an engagement are kept only for the period reasonably necessary to answer and follow up the request and normally no longer than 12 months, unless a longer period is required to protect legal claims or comply with law. If an engagement begins, relevant data forms part of the client or accounting record and is retained for the period required by the applicable contract, tax, accounting, anti-money-laundering and professional obligations. Final retention periods must reflect the service actually supplied.

Your rights. Subject to the conditions in the GDPR, you may request access, rectification, erasure, restriction, portability, or object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it at any time without affecting earlier lawful processing. We do not use enquiry data for solely automated decisions with legal or similarly significant effects.

Complaints and requests. Contact us first at contact@europelegalhub.pl so we can address your request. You also have the right to lodge a complaint with the President of the Personal Data Protection Office (UODO) in Poland or another competent supervisory authority. We may need to verify identity before fulfilling a rights request and normally respond within one month.

Required information and security. Fields marked as required are needed to respond to the enquiry; without them we may be unable to reply. We use data minimisation, access controls and reasonable technical and organisational safeguards, but an internet form should not be used for urgent, highly confidential or sensitive documents. Contact us first so a suitable transfer method can be agreed.

Changes. This notice may be updated when our services, providers or legal requirements change. The current version is published on this page. Material changes affecting an active enquiry will be communicated where required.
